Gmail and Spam

Google Apps for Education: Gmail and Spam

Schools-On-I-Net chose to integrate its online school management system with Google Apps for Education’s Gmail email product.  One of the main reasons why is that we liked Gmail because of its SPAM handling, user interface, and suite of collaborative tools.

Gmail has the highest customer satisfaction for free anti-spam filters.

Spam is an issue for any email system administrator.  Google Apps for Edu offers great spam filters. But there are some whose email boxes get more spam than others.  Some reasons why include:

  • The email account or domain is posted on public webpages
  • The email account is “guess-able” on a particular domain (like info@ or admin@…)
  • The email account is submitted through online forms that may not be secure (Always look for a notation of security when using online forms like a lock at the bottom or an https which means that information is transfered in an encrypted format.)

SOIN works with Gmail or any email system you choose for your school. Our integration with Gmail provides some additional features, like managing users in one place, automatically updating user changes and sharing contact groups between SOIN and Gmail.

Mrs. Golbari, Elementary Assistant Teacher at Yavneh Academy demonstrates how to complete report cards grades and comments.

Mrs. Golbari has been using Schools-On-I-Net since its first year at Yavneh Academy. Her main responsibilities are entering homework grades and comments, entering assignments to share with parents online, communicating with other faculty and staff as well as class parents.

The report card module on Schools-On-I-Net is our most popular module and the easiest for teachers to acclimate to. SOIN mimics the way report cards are traditionally completed, by providing a time frame for teachers to enter grades, having an administrative review, providing reports, transcripts as well as a “Dean’s List” sticker concept.

Parents and students retrieve their report card from their secure password protected account. The school can keep track of who has seen or not seen a report card online.  Additionally, there is a report card hold feature block students and parents from retrieveing their report card if there any obligations unsatisfied. 

SOIN report cards are customizable, each grade level can have different subject assessments.  Your school’s logo and slogan for branding is included.  Imagine the cost and time savings!  All of our schools are using the online report cards module with great success. 

The SOIN report card is also integrated with the SOIN Grade Book and Attendance programs. This means at the end of the term, final grades and final attendance counts are already calculated. Teachers just need to login and review the information.  Teachers also use our grade book as a calculator, setting up their own formulas for the final grades.

Thank you!

To our participants, “Thank You!” for taking the time to participate in yesterday’s in person presentation on Schools-On-I-Net at George Westinghouse Information Technology High School.

We appreciate your time and interest in Schools-On-I-Net. We hope the presentation and discussion was informative and that it demonstrated how Schools-On-I-Net can be used to increase collaboration and efficiency, and to promote parent and student involvement in the education process. We hope we were successful also in demonstrating ways in which schools can effectively make data driven decisions based on information and how it is presented on SOIN.

We send a special “Thank You” to Rabbi Schwartz, Director of Technology of Yeshivah of Flatbush for sharing with us some of his experiences using Schools-On-I-Net for managing academics and communications at the Yeshivah. Several Steps to Play it Safe on SOIN

Many websites offering advice on website security suggest changing personal passwords every 90 days.

On Schools-On-I-Net Administrators can set the number of months desired in a change password routine. If set to 3 months, then 3 months from the date the parameter was set, the system will ask every user to change their password when he/she logs in.


2. Password Guidelines
Ask your users to set their password to something that is not obvious. Here are some suggested guidelines:

A. Choose a password that is hard to guess but easy for you to remember.

B. Make a phrase into an acronym. IE, My dog Spot has brown hair. The password would be “mdshbh.”

C. Substitute or add a number or symbol. If you substitue “s” for $ and add some numbers like 8954, The password becomes “md$hbh8954″

D. Do not use names, birthdates, social security number or sequences like abc or 123 or 222

3. Check Who has access to what…and check it regularly.

On a system based on access levels, it is a good idea to regularly take inventory of who has access to higher level accounts and who has access to sensitive links.

On Schools-On-I-Net, for example, keep a check on who can access system data: ie, the Class Setup and User Maintenance links

Also keep a check on who is listed as a SOIN Administrator, Divisional Administrator or Academic Administrator. You can use the Admin View link or the User Maintenance > User Setup to look up all users in a specific user type.

4. Users should check the last time they have logged in

Many systems today have a “Last logged in” date and time stamp.

This stamp lets you see the last time you logged in so that you can tell right away if there is a time listed that doesn’t seem right. Users should be reminded to change their passwords right away and tell their school’s SOIN administrator.

On Schools-On-I-Net, this stamp is located at the right of the user’s welcome page.

5. Using the Logout link and closing the browser.
It is important to do both on any website – Remind users to first click on the “Logout” link from AND to close the browser completely.

Remind users that this is good practice for all websites that require a login.

6. Enotifications for Excessive IP use and Staff Account creation.

On Schools-On-I-Net you can be notified every time a user account is logged in from more than 5 IP addresses in one day.
You can also be notified when a new staff account has been added.

You can find these notification parameters in the School Setup > School Parameters section under “Security.”

There is a lot of information on the web regarding website and system security. These are just a few recommendations we know you can do easily as a SOIN Administrator to help protect your Schools-On-I-Net system.

Schools-On-I-Net Online School Management Software with Google Apps for Education now supports Unicode (or multi language text). Educators can email parents and students, enter assignments, lesson plans, grades, comments and more in virtually any world language.

Hebrew was the first language supported on SOIN to meet the needs of our many Jewish day schools.
In Januaray 2009, SOIN released a Unicode supported version of SOIN with supports Hebrew, Spanish, French, Russian, Arabic, Hindi, and more. (See below for information on Unicode)
